The 4th Floor Clinical Administrative Assistant (CAA) works closely with the 4th floor leadership team to ensure the timely and accurate completion of daily operational tasks. The CAA supports the mission and vision of Cayuga Medical Center, directly and indirectly, through their role in supporting staff via successful completion of the core job responsibilities. The ideal candidate will be interpersonally and organizationally excellent to enable successful completion of job tasks and responsibilities. Job Responsibilities:

  1. Scheduling Coordinator Under guidance by Unit Managers, is responsible for facilitation of staff schedules including being proactive in balancing unit needs.
  2. Performance Improvement Works in collaboration with Unit Managers and other unit staff to complete and report on the unit's performance improvement data.
  3. Timekeeper In conjunction with schedule coordination, is responsible for maintaining timely, complete, and accurate 4th floor staff timecards.
  4. Maintains records, including personnel records.
  5. May assist with interviewing for faculty or staff assistant positions.
  6. Gathers and analyzes information required for administrative reporting. Assessing, answering, and routing questions as appropriate.
  7. Manages complex calendars, arranges for meetings and appointments.
  8. Secondary cross training as a Ward Clerk and Safety Monitor Sitter to assist with the needs of the units in non-routine circumstances.
  9. Maintain customer service mindset in line with organizational expectations to foster team work and collaboration. Displays commitment to the mission of the organization and its values.
  10. Flexible in assuming other appropriate responsibilities not noted above.


  • Education: High school diploma or equivalent.
  • Experience: Previous administration assistant experience preferred.
  • Licensure: Not applicable.
  • Certification: BLS
  • Physical Requirements: Repetitive use of hands and fingers (e.g., use of computer keyboard); may require lifting and carrying light loads (up to 40 lbs), including boxes, equipment, IV solutions and stooping and kneeling (e.g., to pick up items from the floor, to remove and replace items on lower shelves and to file documents in lower file drawers); sitting, walking, or standing for long periods of time may be necessary; must be able physically to operate the equipment used for the job.
